Human Resources Benefits Manager - Baton Rouge

Kean Miller is seeking a Human Resources Benefits Manager in our Baton Rouge office. The position is responsible for directing and planning the day-to-day operations of employee benefits (group health, dental, vision, short-term and long-term disability, worker's compensation, life insurance, supplemental plans, flexible spending plan, 401(k) plan and wellness programs). As needed, this position provides guidance and assistance to all employees and partners on various employee benefit plans. This position works closely with our insurance broker to design, implement and manage a cost-effective benefits program that is structured to reduce costs, improve our employee’s total wellbeing, educate employees, mitigate risk and help us attract, retain and develop top talent.

Essential Benefits  - Administration Functions
  • Administer employee benefits programs such as group health, dental, vision, short-term and long-term disability, worker’s compensation, life insurance, supplemental plans, flexible spending plan, 401(k) retirement plan, and wellness programs
  • Survey industry trends relative to health, wellness, risk management and retirement. Complete benefits surveys and review information obtained to ensure the Firm has a cost effective, robust plan that allows us to stay competitive in our industry, and aligns with our operational budget and goals. Forecast trends and assist with future benefits designs to position the Firm for long-term success.
  • Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, QMCSOs, distributions, loans, hardships and compliance testing
  • Develops communication tools to enhance understanding of the Firm’s benefits package. Design and distribute materials for benefits orientations, open enrollment and summary plan descriptions while working to continuously streamline processes for efficiency
  • Assures Firm compliance with provisions of Employee Retirement Income Security Act (ERISA) and the Affordable Care Act
  • Reviews and analyzes changes to state and federal laws pertaining to benefits, and reports necessary or suggested changes to CHRO
Essential Human Resources Functions
  • Maintains all personnel files in compliance with applicable legal requirements
  • Processes required documents through HRIS to ensure accurate record keeping & proper deductions (ex: new hire paperwork, re-hires, terminations, new hire enrollments, payroll changes, re-enrollments and qualifying event change paperwork) 
  • Completes I-9, verifies I-9 documentation and maintains I-9 files
  • Processes and oversees all leave of absence requests and disability paperwork
  • Effectively interprets FMLA and ADA and stays abreast of government changes to ensure compliance
  • Handles all injuries at work by aiding and caring for the employee injured, securing the scene, taking witness statements,  completing the necessary paperwork, notifying carriers, assisting the employee with a return to work plan
  • Responds to 401(k) inquires relating to enrollment, plan changes & contribution amounts
  • Works with our 321(b) advisor to set up in-house and web based educational meetings for plan participants
  • Reconciles monthly billings for all group benefit plans 
  • Stays up to date with all inflation-adjusted limits and annual thresholds as it relates to HSA, FSA, 401(k), ACA and PCORI
  • Manages open enrollment and travels to all offices with our benefits broker to ensure partners and staff are properly communicated with relative to benefit plan options 
  • Ensures all mandatory plan notices are sent out timely in accordance with legal requirements
  • Manages benefit termination paperwork for continuation of benefits for all voluntary and involuntary terminations 
  • Maintains budget spreadsheets that include salaries and forecasting for current and future head count
Additional Qualifications
  • Extensive knowledge of Microsoft Office Suite
  • Prior experience with HRIS and benefits database desired
  • High level of interpersonal skills to handle sensitive and confidential situations and documentation
  • Attention to detail in composing, typing and proofing materials, establishing priorities, and meeting deadlines
  • Excellent spelling, grammar and written communication skills
  • Ability to maintain a high level of confidentiality
  • Computer proficiency and technical aptitude with all Microsoft products, with advanced knowledge of excel and PowerPoint 
  • Proven ability to work effectively in a team environment 
  • Ability to manage several complex projects simultaneously while working under pressure to meet deadlines
  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending affecting employee benefits programs, including ERISA, COBRA, ACA, PCORI, FMLA, FLSA, USERRA, EEO, ADA, Section 125, Medicare, Social Security,  workers' compensation, and DOL requirements
Position Type - Expected Hours of Work - Travel
This is a full-time position based out of our Baton Rouge office. Days and hours of work Monday through Friday, 8:30 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.  Travel to various locations as needed. 

Required Education and Experience

Bachelor's degree and minimum of five years of HR administration experience with heavy emphasis on benefits
