Legal Administrative Assistant - The Woodlands

Our Legal Administrative Assistant will provide legal secretarial and administrative support to attorneys.

Primary Responsibilities Include
  • Accurately drafts and/or writes routine reports, opinions and correspondence
  • Preparing correspondence, memoranda and form documents specific to practice area under the supervision of an attorney or other timekeeper
  • Creating, editing, revising, redlining, and/or tracking changes from dictation, handwritten, typed and/or electronic copy
  • Proofreading all documents, correspondence to ensure accuracy
  • Copying, scanning and printing documents
  • Reviewing incoming emails and filing electronically as appropriate
  • Maintaining electronic and paper files utilizing electronic document management system
  • Enters attorneys time into billing system
  • Prepares expense reports and reimbursements for submission 
  • Answer all incoming telephone calls, transferring to appropriate extensions or taking messages
  • Greet visitors, collect client information, and ensure they are welcomed in a professional manner in conformity to the Firm standards (offered water, coffee, tea, etc.)
  • Maintain a neat, well stocked, and organized atmosphere of desk, surrounding guest area, conference room and common areas
  • Reserve and coordinate scheduling of conference rooms through our Meeting Planning Software
  • Responsible for checking calendars throughout the day and update with new or cancelled meetings as necessary
  • Maintain security by following procedures; monitoring logbook; issuing visitor badges.
  • Prepare for the next day’s meetings by reviewing and printing what is ahead
  • Arrange travel and catering
Minimum Qualifications
  • 3-5 years of prior legal secretarial and administrative experience
  • Ability to multi-task to provide a high level of support to assigned attorneys and handle general office administrative support work for the office as necessary
  • Excellent computer skills with advanced proficiency in MS Word
  • Working knowledge of document software including Word, Excel, Outlook and Document Management System software
  • Ability to work effectively to produce appropriate quantity of high quality work product
  • Excellent grammar, proofreading and composition skills with strong attention to detail
